Note:  The information and steps outlined below are for installing and registering the Concurrent User licensing model of CommonLook Office GlobalAccess on your machine.  If you need to install and use the Single User licensing model, please contact us at support@commonlook.com for that installation information.

Important Note:  Prior to the installation of CommonLook Office GlobalAccess, when using the Concurrent User licensing model, you must first install the CommonLook GlobalAccess Licensing Server, which manages the concurrent licenses on individual workstations.

After installing the CommonLook GlobalAccess Licensing Server, follow the instructions below to install and register CommonLook Office GlobalAccess on the work machines.

System Requirements

IMPORTANT: Before installing CommonLook® Office GlobalAccess, please ensure that the workstation meets the following minimum requirements:

  • Windows 10, 8, 7, or Vista,
  • MS Word 2010 or higher,
  • MS PowerPoint 2010 or higher (not required if working exclusively in Word),
  • Windows Internet Explorer version 8.0 or higher.

Downloading

CommonLook Office GlobalAccess comes in 32 bit and 64 bit variants. Make sure to use the correct installer for your version of Microsoft Office.

Installing

Important: The installation MUST be performed while logged in to Windows as a user with Administrative Privileges on the local machine.

Locate and run the self-extracting zip file CLOfficeGA2_0_7x86.exe or CLOfficeGA2_0_7x64.exe.  The WinZip Self-Extractor dialog box pictured below will open.  (Please note the screenshot below of the self-extractor shows the version for Office 32 bit.  Only the bit number will be different for people using Office 64 bit.)

To continue with the installation, please select “Yes.”

After selecting “Yes” to the “Self-Extractor” dialog, the files needed for CommonLook Office GlobalAccess will be extracted.

Choose “Install” or “Yes” as needed if asked to install additional components and/or make changes to your machine.

Once the extraction process is completed, the CommonLook Office Setup will start.

Select “Next” when the CommonLook Office GlobalAccess “Welcome” screen opens.

After the “Welcome” screen, the next step is to accept the software licensing terms.  Please read and agree with the “License Agreement,” choose the “I agree” radio button, and select “Next.”

After the License Agreement, the “Register CommonLook Office GlobalAccess screen will open.  Select the button for “Register Now.”

On the “Registration” screen, select the “Concurrent User” radio button in the Licensing Model options.  (Remember, as stated above, if you need to use the Single User Licensing model, you’ll need to contact our support team for the proper installation information.)

Below the Concurrent Licensing Model radio button, there are fields in which to enter your “Product Key,” “Server Port,” and “Server Address.”  If you’re upgrading from a previous version of CommonLook PDF GlobalAccess, your Product Key will be entered in the “Product Key” field already.  If this is a new installation, enter the Product Key supplied by CommonLook in the download email.

For the Server information (Port and Address), if the Licensing Server Manager is:

  • Hosted by your organization: The system administrator who set up the Licensing Server Manager will be able to provide you with the Server Port and Server Address information.
  • Hosted by CommonLook: The Server Port is 48801 and the Server Address is 198.143.141.114.

Helpful Tip:  Make sure that you remember your Product Key and Server information for future use!

After you’ve input the necessary Product Key, and Server information Select the “Register” button.

After registering, choose “Next.”

When the “Setup Wizard” screen opens, select “Next.”

The “Select Installation Folder” screen allows you to specify the target folder for the software installation.  It’s recommended that you use the default.

To install CommonLook Office GlobalAccess for all users on the current machine keep the “Everyone” radio-button selected.  This is particularly important if you are logged on using an account other than the regular machine user’s account (for example, an administrator installing for a desktop user).

Select the “Next” button.

At this stage, all information needed to install CommonLook Office GlobalAccess has been collected.  The installer will show the “Confirm Installation” screen.  Choose “Next” to start the actual file installation.

Once the installation is completed, the “Installation Complete” screen will be displayed.

Select the “Close” button.

Congratulations, you’re now ready to use CommonLook Office GlobalAccess!

After the software has been installed and registered, you’re ready to use CommonLook Office GlobalAccess to create your compliant PDFs from your MS Word documents or PowerPoint presentations.

If CommonLook Won’t Open

When opening CommonLook Office GlobalAccess, the software will “ping” the server to see if there are any available “seats” for the licensing key.  If there are “seats” available, CommonLook will open.  If there aren’t any “seats” available an error message, like the one below, will be displayed, telling the user that CommonLook is unable to connect to the server and requesting that the user try again later.  (Note that the screen shot shows the error message displayed for CommonLook PDF GlobalAccess but, other than the product name, the error message in CommonLook Office is the same.)
