Save: Applies any outstanding changes and saves the document.
Print Preview: Displays a print preview of the logical view.
Print: Prints the logical view.
Export: Saves the current page in HTML or web archive formats.
Exit: Exits the Logical Structure Editor and returns to Acrobat.
Undo: Rolls back the last change. Some changes cannot be rolled back.
Redo: Re-applies the last change that was undone.
Cut: Deletes the selected container(s) or element(s) and copies them to the Logical Structure Editor’s clipboard.
Paste: Inserts the contents of the Logical Structure Editor’s clipboard into the current location.
Select All: Selects all the elements in the Logical View.
Delete: Deletes the currently selected element in the Logical View.
Find: Finds elements on the currently open page based on their content or type.
Replace: Finds a text string and allows for replacing it with another string. Note that the change is applied to the alternative textual description of the replaced text. No changes are made to the document’s physical view.
Tag Converter: Modifies the selected tag to a different tag type (e.g. can be used to change a header level tag to another level).
Fix OCR: Makes it easier to fix OCR problems from within the Logical Structure Editor.
Borders: Toggles the display of borders for the basic elements and tags.
Hide Artifacts: Toggles the display of artifacts.
Glyphs: Toggles the display of glyphs. Glyphs show the names of the basic elements, tags and containers in the Logical View. Many of the Logical Structure Editor’s functions are disabled when the glyphs are visible.
Hide Untaggable Elements: Hides all elements that are not able to be tagged.
Tags: Shows the tags panel.
Content Order: Shows the content order panel.
Annotations: Shows the annotations panel.
Logical: Toggles the display of the Logical View.
Selection: Allows you to select the way the Logical Structure Editor displays selections.
Selection Order: Controls how elements will be ordered when dragged/dropped or copied/pasted once in the physical view. The two options are Physical and Logical. When Logical is selected elements will maintain their Logical View order (thus minimizing the possibility of z-order problems). When Physical is selected elements will be reordered left to right, top to bottom.
Each option on this menu inserts the indicated tag type after the currently selected tag.
When elements (tags, text runs or images) are selected, the Insert menu may be used to add a new tag containing the selected elements. An option is provided to create 1 parent tag per selected element or 1 parent tag for all selected elements.
When no elements are selected, the inserted tag will be placed at the end of the tags list for that page.
Grayed out items are not available within the selected tag (for example, TD and TH tags may only be inserted into TR tags).
Common tag types are at the top level while less common types are available under the More item.
The Heading menu item expands to allow choice of a specific heading level.
Apply Changes: Applies all outstanding changes to the current page and redraws the Physical View.
Clean up: Deletes all empty cells and tags on the page. Gives user the option to skip empty table cells.
Fix Common Problems: Addresses a variety of issues present in many PDF files. See Fixing Common Problems for details.
Abbreviations and Acronyms: Manages presentation of abbreviations and acronyms for assistive technology devices. See Expansion Text for details.
First Page: Navigates to the first page of the document.
Previous Page: Navigates to the previous page.
Next Page: Navigates to the next page
Last Page: Navigates to the last page of the document.
Zoom In: Zooms in on your current selection.
Zoom Out: Zooms out of your current selection.
Increase Margin: Increases margin around your current selection.
Decrease Margin: Decreases margin around your current selection.
Set Language: Defines the language of the document (see 8.9 Set Language).
Tagging Mode: Untag containers or untag annotations from this menu.
Cells: Provides a number of functions to manipulate cells including inserting a cell before or after the current cell, deleting the current cell or merging the selected cells.
Rows: Provides a number of functions to manipulate rows including inserting a row before or after the current row and deleting the current row.
Merge Tables: Merges the currently selected tables (see Merge Tables).
Linearize Table: Transforms the selected table into text (see Remove items from a table).
Verify and Remediate Tables: Starts the table editor.
Color Scheme: Set the color scheme to be used by CommonLook PDF.
Launches a web-browser and loads CommonLook PDF’s online help.
Applies any modifications made in the logical view. This is helpful to see if there is any effect on the physical view in the right hand side pane. This does NOT save the changes to the PDF. Closing out of Verify and Remediate mode without saving will not save any changes to the document.
Applies changes and saves them permanently to the PDF file.
Clean Up Page
Empty tags will occur as a document is remediated and must be removed. Instead of deleting them individually, click this icon to have CommonLook PDF do the work. When clicked, two options are presented:
- Full: deletes every empty tag.
- Skip Empty Table Cells: This option allows you to preserve empty cells required for specific table structures.
Prints the current screen.
Displays a preview of the current page if printed.
Locates items in a document, either by content or tag type. The results are shown in a pane at the bottom of the screen. Clicking on a result will select it in the Logical Pane.
Cuts content to be placed somewhere else in the page. Content cannot be moved between pages. (Also: CTRL-X)
Pastes content at the current cursor location. (Also: CTRL-Y)
Deletes the selected item. The delete key will also work
Controls the display of labels for tags and content, which can aide in reviewing the tags. Please note that a number of other options are disabled when glyphs are active.
Controls the display of borders for tag and content objects in the Logical View.
Controls the display of artifacts; objects that are not included in the logical reading order of the page. Artifacts typically include decorative images and repetitive page headers and footers.
Controls the space between tag borders in the Logical View. Increased margin spacing can make it easier to locate and select items when they are heavily nested.
Zooms the view in and out of the physical view.
Shows the current and total pages and allows you to move from one page to the next.
- In Verify and Remediate Mode: CommonLook PDF will skip pages if no issues are detected. So, clicking on “next page” may move you from page 2 to page 15.
- In Logical Structure Editor Mode: CommonLook PDF will go forward or back by one page.
Creates a <Table> tag in the Logical View with a specified number of rows and cells. These are empty tags into which you can move text runs.
Adds a <Figure> tag. Select applicable graphics (and text runs, if appropriate) and click this icon to place them into one <Figure> tag.
Adds a list (<L>) tag.
Adds a <P> tag. Select applicable text runs and click this icon to place them into one <P> tag.
Adds a heading tag (<H#>) at the level you select, from 1 to 6. Select applicable text runs and click this icon to place them into one <H#> tag.
Adds a <Form> tag.
Creates an artifact container. Select applicable objects and click this icon to mark them as artifacts. Any content marked as artifact will be ignored by assistive technologies, and will also be hidden in CommonLook PDF’s Logical View when the Show/Hide Artifacts button is clicked.
Table Tag Management
Insert a Table Row
Inserts a row into a table. This function is only available when a table cell is selected.
Insert a Table Cell
Inserts a cell into a table. This function is only only available when a table cell is selected.
Delete Selected Table Row
Deletes the row containing the selected cell.
Delete Selected Cell
Deletes the selected cell.
Merge Selected Cells
Merges the selected cells.
The Selection Mode button allows configuration of how CommonLook PDF selects items in the Logical and Physical Panes. Using the appropriate mode helps improve efficiency when adjusting reading order and other tasks.
- In the Logical Window, clicking on an object will select it directly.
- In the Physical Window, holding down the left mouse button and drawing a box will cause objects within the box to be selected in the logical view.
Available Selection Modes include:
Selects all types of objects and tags. If another mode is active, click on the selection tool to revert back to Exact mode.
Text Runs and Images
Selects text runs and images but not tags.
Text Runs Only
Selects text runs alone; it will not select images or tags.
Selects images but not text runs or tags.
Selects tags, but not text runs or images.
